Bring the rental pieces into one access plan
Toilets, washing and other event equipment may arrive through the same entrance. Name the person coordinating suppliers and explain the usable arrival window. Check the actual operating space for every item so one delivery does not block the next or obstruct the guest route.
Confirm support beyond the opening hour
Ask about supplies, service concerns and the collection request process. Keep a responsible person reachable after guests leave. The event schedule does not automatically set supplier appointments, and a property reservation does not itself approve every additional item or placement.
Equipment and service details to compare
Coordinate the venue and suppliers
Prepare one layout showing the activity, restroom area, washing and supplier entrance. Ask the venue which facilities are included and whether temporary equipment needs approval. Share the plan with the rental contact so the delivery approach is considered before tents, barriers and parked vehicles occupy it.
Specify what attendance means
Ticket sales, simultaneous attendance and the number of staff on site are different figures. Explain turnover and concentrated breaks rather than supplying only a total. Ask how those patterns affect the proposed quantity, accessible provision and cleaning. Any recommendation remains dependent on the actual programme and installation.
